Software development company Žejn Ltd., founded in 1993, initially ran a couple of mid-size system integrations on in-house designed and developed content management platform named ShakeSpeare™. We make our customers more efficient. Our solutions reduce errors, time spent and costs, letting you focus on what you do best, your core business. Mainly due to ShakeSpeare®’s immense configuration abilities, customers started to recognize ShakeSpeare® as a tool suitable for a much broader use within their organizations: from simple use in the mail room, up to document management systems, and finally to the very complex business process management systems. Solution using Shakespeare™ BPM Software was executed in two major phases that reduced company's annual travel costs for 24%, and shortened confirmation time from 10 to 2.4 days on average:
Every single week more than 2000 employees are involved in the process of travel orders. Detailed analysis among key players in the process was set to isolate and extract the process with all its boundary conditions and
xceptions. As a result a definite workflow was designed and implemented in ShakeSpeare™ BPM Solution.
Every single step in the workflow was designed as unquestionable, meaning any doubt was ruled out when addressing the above listed specification requirements. The very first specification requirement was addressed – whether an optimum travel agency and accommodation were selected for a particular business travel. Hence
the workflow for the purchase of accommodation and transport process were fully automated. Digital order, delivery to multiple external travel agencies, digital bidding, selection process, order confirmation, and finally order distribution were all automated.

After the completion of the analysis phase the ShakeSpeare™ BPM stand-alone software module, called Legal Help, was integrated to set up an environment ready to address the above written specification requirements. With the Legal Help module in place all bank employees, involved in the legal approval process, were enabled to
start a request for legal help in a digital format. The web form guides a user to simply classify a request through a few of the most important questions.
In accordance with the pre-set classification criteria ShakeSpeare™BPM Software identifies the right metric for the workflow, identifies the right team, and initiates the process. To retain transparency at the highest level the collaboration that happens after is done via the same module in both directions, from legal expert to the
bank expert handling customers for further details and explanations and vice versa. Increased transparency results in easy tracking of the legal request once additional revisions are required. Response time shortened dramatically since tedious administrative tasks vanished. Further need for clarification between bank experts dealing with customers and legal department experts decreased by an astonishing 38%.
